📖 How to use this template
This is a ready-to-run space for taking a team brainstorm from "we should talk about this" to shipped action. It comes pre-loaded with one example topic — improving new-hire onboarding — so you can see how everything works together before swapping in your own topic.
- Duplicate this project into your own organization (dropdown next to the project name, then
Duplicate) - Replace the focus question in 1️⃣ Prep the Brainstorm with your own, and set the timer and invite list while you are there
- Switch 2️⃣ Collect Ideas to Board view — that is where ideas move left to right as the team works them
- Delete the sample onboarding cards, keeping the statuses, tags and both sublists as they are
- Once you have volume, set Impact and Effort on each idea and sort in Table view to get your discussion order
The structure
- 1️⃣ Prep the Brainstorm — get the session ready: focus question, technique, invite list, context, timer.
- 2️⃣ Collect Ideas — the board. Every idea lives here as a task and moves through statuses as the team works it.
- 3️⃣ Group Ideas by Theme — cluster similar ideas and cut duplicates before voting.
- 4️⃣ Evaluate & Prioritize — score, vote, and promote the ideas worth pursuing.
- 5️⃣ Turn Ideas into Action — approved ideas become real tasks with one assignee and one deadline each.
- 6️⃣ Wrap Up & Follow Through — recap, check in, and close the loop.
Board view & statuses
Switch Collect Ideas to Board View to see six columns: New Idea → Needs Review → Approved → In Progress → Done, plus Parked for ideas you're setting aside for now (nothing gets deleted). Drag cards across live during the session, or async over a few days for remote teams.
Tags
Tag ideas as Culture & Team, Process & Operations, Tools & Systems, or Communication to track theme, and Quick Win / Needs Research to flag effort. Group or filter by tag to see which theme pulled in the most ideas — that's usually a signal of where the real problem lives.
Sublists
- ⭐ Prioritized Ideas — a cross-cutting view of everything the team approved, so a follow-up meeting doesn't require digging through the whole board.
- 🚀 Committed Action Items — the concrete follow-ups with assignees and deadlines attached. Check this one during a standup.
Running the session
- Pick one focus question, e.g. "How can we improve onboarding for new hires?" A sharp prompt beats a vague one.
- Choose a technique: Mind Mapping for broad topics, Brainwriting (try the 6-3-5 method: 6 people, 3 ideas, 5 minutes) for equal airtime, Round-Robin so nobody dominates, Reverse Brainstorming ("how would we make this worse?") to break a rut, or Starbursting to pressure-test one idea from every angle.
- Keep it short: 15–45 minutes with a hard stop. Time pressure beats waiting around for inspiration.
- Capture every idea as a card in Collect Ideas — no judgment at this stage, just volume.
After the session
Group similar ideas, vote, and move the winners to Approved. Give each one a single assignee and a real deadline — an idea with nobody assigned rarely happens. Then close the loop: post a short recap of what was decided and by whom, so the brainstorm doesn't quietly die in someone's notes.
